Connect Your Hosting gives a lot about your privacy. We therefore only process data that we need for (improving) our services and we handle the information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes. This privacy policy applies to the use of the website and the services provided by Connect Your Hosting. The commencement date for the validity of these conditions is 10-08-2024, with the publication of a new version the validity of all previous versions expires.
This Privacy Policy describes what information is collected by us about you, where this data is used for and under what conditions this data can possibly be shared with third parties and who these third parties are. We also explain to you how we store your data and how we protect your data against misuse and what rights you have with regard to the personal data you provide us.

About the data processing

Below you can read how we process your data, where we save it, what security techniques we use and for whom the data are transparent. 

Webshop software


Our webshop is developed with software from WHMCS. WHMCS is hosted on our own servers. Personal data that you make available to us for the benefit of our services will not be shared with this party. However, WHMCS does have access to your data at the time that they offer us (technical) support. This happens incidentally and only at times when we ask for technical support. WHMCS will never use your data for any other purpose. WHMCS is obliged to take appropriate security measures on the basis of the agreement we have concluded with them. These security measures consist of the application of SSL encryption and a strong password policy. WHMCS uses cookies to collect technical information regarding your use of the software or the functioning of the web store. No personal data is collected and / or stored by the company WHMCS. WHMCS reserves the right to share collected data within its own group in order to further improve the service. 

E-mail and mailing lists


Software for newsletters is in own management. Data is not shared.
All newsletter emails you receive from us are sent via our own servers. At the bottom of every e-mail sent automatically via our website you will see the ‘unsubscribe’ link. If you click here you will no longer receive e-mail from us / our website.
We use cookies and other internet technologies that make it clear whether e-mails are opened and read. We reserve the right to use your data for further improvement of the service.

All automatic emails send by our system, for example after filling in a contact form or creating a new order, are send automatically by our self-hosted and managed email systems. These automatic emails do not contain ‘unsubscribe’ links as this is not possible in these cases.
However, after signing up as client, every user which is part of your account can control email settings. This way the account administrator can manage exactly which types of emails a user receives. 

Business e-mail traffic


We use our own servers for our regular business e-mail traffic, hosted and managed by ourselves, Connect Your Hosting. We have taken appropriate technical and organizational measures to prevent misuse, loss and corruption of your and our data as much as possible.
We treat all our e-mail traffic confidentially. 

Payment processors:

  • Mollie
    We use the Mollie platform to handle a (part of) the payments in our web shop. Mollie processes your name, address and residence details and your payment details such as your bank account or credit card number. Mollie has taken appropriate technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to further improve the service and to share (anonymized) data with third parties.

    All the above-mentioned safeguards with regard to the protection of your personal data also apply to the parts of Mollie’s services for which they engage third parties. Mollie does not store your data for longer than is permitted by the legal terms.

  • PayPal.com
    We use the PayPal platform to handle a (part of) the payments in our webshop. PayPal processes your name, address and residence details and your payment details such as your bank account or credit card number. PayPal has taken appropriate technical and organizational measures to protect your personal data. PayPal reserves the right to use your data to further improve the service and to share (anonymised) data with third parties.

All the above-mentioned safeguards with regard to the protection of your personal data also apply to the parts of PayPal’s services for which they engage third parties. PayPal does not retain your data for longer than permitted by the legal terms. 

Reviews


We collect reviews via multiple websites, which can also be more or less over time.
When you leave a review you are obliged to enter your own name and e-mail address. Some review websites share this information with us, so that we can link the review to your order and check if reviews are not used for providing fake information.
In some cases, when there is some doubt about a review, the review website may contact you to provide an explanation of your review.
You have to check the privacy policy’s from the specific review website where you are leaving your review.

Invoicing and accounting


WHMCS
We use the WHMCS software to keep track of our administration and accounting. This software runs on our own servers. We use your name, address and residence details and details for the management of sales invoices. We use the services of an online accounting package to keep track of our administration and accounting. We share your name, address and residence details and details regarding your order. This data is used for managing sales invoices. Your personal data is sent and stored protected. The supplier of the online accounting is obliged to observe confidentiality and will treat your data confidentially. Our supplier of the online accounting package does not use your personal data for purposes other than those described above.

Additional software for accounting

We use additional accounting software in order to comply with legal tax obligations. The software is managed by ourselves.
It collects only limited information like: business name, personal name, VAT number, and bank number and it’s business transaction.
The information inside the system is shared, but not hosted or maintained by our accounting partner.

Purpose of data processing

We only use your data for the benefit of our services. This means that the purpose of the processing is always primarily related to the assignment you provide. When you order services we also add your name and e-mail address to our newsletter. We do this because the newsletter not only serves for marketing purposes, but we also send information via newsletters about failures that (may) have an impact on your purchased services and announcements of (large or unplanned) maintenance where there might be negative impact on our service to you.
You can unsubscribe from this newsletter at any time. After this cancellation you will no longer receive e-mails until you register again via our website www.connectyourhosting.com.
If you share information with us and we use this data to – other than at your request – to contact you at a later time, we ask you for explicit permission. Your information will not be shared with third parties, other than to comply with accounting and other legal obligations.
These third parties have all been kept confidential on the basis of the agreement between them and us, or an oath or legal obligation. 

Automatically collected data


Data that is automatically collected by our website is processed with the aim of further improving our services. This information (eg your IP address, web browser and operating system) is not personal data. 

Participation in VAT and criminal investigation


If necessary, Connect Your Hosting can be held on the basis of a legal obligation to share your data in connection with government tax or criminal investigations. In such a case, we are forced to share your data, but we will oppose this within the possibilities that the law offers us. 

Retention periods


We keep your information as long as you are our client. This means that we keep your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also consider this as a request for forgiveness. On the basis of applicable administrative obligations, we must keep invoices with your (personal) data, so we will keep this data for as long as the applicable term runs. The minimum time is 5 years after your last invoice is send / received.

However, data generated for services used by you, for example is you used a VPS server, will be deleted as soon as the service ends.
Backup data will be removed depending on the backup and retention scheme you had. For example, if your retention was 5 days (our default), then the VPS backup will be deleted 5 days after your service ended.

Your rights


On the basis of the applicable Dutch and European legislation, you as a data subject have certain rights with regarding personal data processed by or on behalf of us. We explain below which rights these are and how you can invoke these rights.
In principle, in order to prevent abuse, we will send copies and copies of your data only to your already known e-mail address. In the event that you wish to receive the data at another e-mail address or for example by post, we will ask you to identify yourself. We keep records of completed requests, in the case of a request for forgiveness we administer anonymous data. If your request is granted, we will send you a confirmation that the details have been changed on the e-mail address known to us. 

Right to restriction of processing

You always have the right to limit the data that we process or have related to your person or that can be traced back to you. You can submit a request to that effect to our privacy contact person.
You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation to the e-mail address known to us that the data until you cancel the restriction will no longer be processed. 

Right of transferability


You always have the right to have the data that we process or have processed and that relate to your person or that can be traced back to you, performed by another party. You can submit a request to that effect to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or copies of all information about you that we have processed or that have been processed by us by other processors or third parties on the e-mail address known to us. Right of objection and other rights


In some cases you have the right to object to the processing of your personal data by or on behalf of Connect Your Hosting. If you object, we will immediately stop the data processing pending the settlement of your objection. If your objection is well-founded, we will make copies and / or copies of data that we process or have made available to you and then permanently discontinue the processing.
